PHP Commercial Painting today launched a custom inventory-control and equipment-tracking system inside PaintWorks, replacing the warehouse’s paper sign-out process with QR codes, barcode scanning and job-specific digital records.
The April 17, 2026 launch gives PHP a real-time view of equipment and sundries checked out to each job and employee, along with returned items, inventory levels and equipment service information.
Replacing a Paper Process Employees Could Skip
PHP previously depended on employees writing down the supplies and equipment they removed from the warehouse. The process only worked when every employee remembered to complete the paperwork.
Employees could pick up tape, masking paper, paint rollers and other sundries without recording what they took. That made accurate inventory counts difficult and reduced the warehouse’s ability to know when supplies needed to be reordered.
The same problem affected reusable equipment. When an item was missing, employees could spend time determining who had taken it and which job was using it.
PaintWorks now records those movements as they happen.
A Warehouse Computer and Barcode Scanner
PHP installed a dedicated computer and barcode scanner in the warehouse to support the new process.
An employee begins by scanning a job QR code displayed on the employee’s phone. Because the code is connected to that person’s PaintWorks account, the system identifies both the employee and the destination job.
The employee can then scan the QR codes for the sundries and equipment being removed. Returned equipment is scanned back into the warehouse through the same system.
Authorized employees can use PaintWorks to see what has been checked out, what has been returned, which employee is responsible and where the item is being used.
Consumable Inventory and Reorder Alerts
The system tracks consumable painting supplies including tape, masking paper, paint rollers and other commonly used sundries.
PaintWorks updates the quantity on hand as supplies leave the warehouse and can notify authorized employees when inventory reaches a level that requires reordering.
This gives PHP a more reliable inventory count than a paper sheet that may not be completed and helps the company purchase supplies based on recorded usage.
Unique and Pooled Equipment Tracking
Larger or higher-value equipment receives an individual QR code. Items such as ladders, sprayers and other significant equipment can be tracked separately, allowing PHP to see each item’s current job, assigned employee, return status and complete checkout history.
Some smaller reusable items are tracked as pooled inventory rather than as individually numbered assets. Drop cloths, lighting, gas cans and similar equipment can share one QR code while PaintWorks records the quantity checked out or returned.
The two approaches allow PHP to maintain detailed records for major assets without requiring a separate identifier on every smaller item in the warehouse.
GPS, Maintenance and Damage Records
Larger equipment, including major sprayers and similar assets, can also be equipped with GPS tracking.
PaintWorks displays that location information alongside the equipment’s checkout record. Authorized employees can review where the asset is located, which job and employee are responsible for it, and whether it has been returned.
The system also records maintenance, damage and service history for individually tracked equipment. That creates one record covering where an asset has been, how it has been used and what work has been performed on it.
Inventory Management Built Inside PaintWorks
The inventory and equipment system was designed and programmed by PHP Chief Technology Officer Joshua Herbison as another component of the company’s custom PaintWorks platform.
The digital process replaces paper sign-out immediately. Although some employees are reluctant to change the way they collect supplies and equipment, scanning is now part of the required warehouse process.
With today’s launch, PHP can connect warehouse inventory directly with employees and jobs while reducing missing records, unnecessary searches and uncertainty about where company equipment is located.
